Inserting images into outgoing email messages

You'll start by clicking the Insert Image button on the message toolbar which is just to the left of the font choice.

File or URL

File is used for local images on your computer's hard drive. This will add the image as an attachment, increasing the size of your message as it now includes the image file in addition to your other content.

URL is used for the address to images that are online and visible with your web browser. Using a URL link to an online image means the message you send won't need to add an attachment, keeping your message size small for sending and receiving.

Alignment

Inline is the normal choice which will put the image at the cursor location. Left and Right will put the image to either side of the content and will allow the text to wrap around it. Background would make the image a wallpaper and your text and other content would be over the top of it.

Optional Choices

Sometimes you may be sending a picture that is larger than the dimensions of the page and/or is very large due to the extreme high quality storage appropriate for printing. These following options let you make the image smaller, in size or in dimension.

Image quality (local files only, not URL linked)

Many photos taken with your phone or even a "real" camera can be very large in physical size at full 100% quality. This is perfect if someone might want to print their own physical copy of an image but is usually more detail than someone can see on screen on their monitor or device. If you know the person receiving your straight-from-the-camera image is only going to be viewing it rather than printing it, you can make the attachment size smaller by reducing the quality of info stored for the image. For photos, most people can't see much difference on screen between 75% and 100%. Setting the quality option in the Add Image optional settings will not change the original image, but will make a reduced quality version and attach that smaller file sized version to the outgoing message instead of the full size original.

Forced Height and/or Width

If the dimensions of an image are too large to fit on screen or at least must larger than the look you would like on your outgoing message, you could choose to set a limit on the height and/or width of the image in the optional settings. If you only specify height or width, it will maintain the same ratio on the image, just with the smaller dimension to match your specification. This setting alone does not change the actual file size like the image quality setting does. This setting just forces the image to fit within the height or width dimensions you specified.

Embed Image (local files only, not URL linked)

This optional setting to embed an image has pro's and con's to consider, making it something you would use for specific purposes or specific recipients only.

Unlike the standard local image that is added to the Attachments tab, an embedded image is written directly to the HTML content of the message. The "pro" is this method is useful in places where attaching the image won't work, such as using a local image in an account signature. This method also gets around any viewers or security options that strip attachments from received messages. There is a big "con" to this embed option, though, which is some mail readers (especially web-based readers like the Gmail web site or Outlook.com web site) are unable to allow embedded content.

This means that embedded images are best used for things that are useful to see but not required to see, such as logos.
